Scheduled reminders for customers and your team

ToteFlow can now send automatic email reminders so customers stay on top of deliveries, pickups, unpaid invoices, unsigned agreements, and overdue returns. Each message goes out once per reservation or invoice—there are no daily digests—and customer emails only send during daytime hours in your business timezone.

Under Settings → Reminders, you choose how many days ahead to notify, turn individual reminder types on or off, and set inventory alerts when tote capacity, add-on utilization, or consumable stock crosses thresholds you define. Booking add-on settings include utilization and reorder fields for those alerts. You can preview all seven reminder templates in Email templates, with clearer sample data in the editor.

Your team receives in-app and email alerts for items that need action—coordinating delivery or pickup, overdue invoices or returns, unsigned agreements, extension requests, and inventory pressure. Overbooking alerts now include rentable add-ons as well as totes.

Customers see an Attention section in their account portal when something needs payment, a signature, or an extension request. On each reservation, admins can turn reminders on or off; reservations imported from legacy systems start with reminders off so you can opt in when you are ready.
