A plain-language look at the product changes rolling out across the ToteFlow platform.

More flexible and reliable website images

You can now upload an image or paste an image URL for your business logo, favicon, social sharing image, and more website content fields. The same flexible controls are available during onboarding, in general settings, and in the visual website editor.

Image changes now validate consistently and save more safely. Existing images remain intact when an edit fails, replaced images are cleaned up only after a successful save, and hero, video preview, and social sharing images display more reliably on public pages.

Custom product wording and safer commerce

You can now choose the singular and plural words for the products you rent—such as box/boxes, tote/totes, or bin/bins. Your wording appears across public booking pages, the booking embed, pricing sections, confirmation details, and default website copy.

Booking and payment safeguards now prevent canceled or suspended accounts from accepting new reservations or payments, while customers can still view already-confirmed gift bookings. Open Stripe payment links are also disabled when an account becomes read-only.

Plan changes and agent credit purchases now use current configured pricing, and stronger website image validation helps keep public pages secure.

More reliable gifts, logistics, returns, and setup

Daily operations are now more reliable: staff can resend gift booking links, open reservations from logistics without errors, move tasks through valid statuses, and process pending returns without missed clicks or duplicate return records. Admins and owners can also be assigned to logistics tasks, giving small teams more flexibility.

Brokerage setup now preserves the new account and clearly reports any follow-up problem if payment or welcome setup cannot finish. Onboarding and navigation also make service-area, setup wizard, team users, and brand settings easier to find and track.

Public blog posts and website hero images now display reliably when dates or older image links are missing.

Reliable scrolling and navigation in admin areas

Admin pages now remain scrollable after you use menus, dialogs, or move between pages, preventing the main workspace from becoming stuck. Moving into and out of the website editor is also more reliable.

Navigation menus and page layouts are now more consistent across tenant, agent, and platform admin areas, with improved full-page coverage and behavior.

Better mobile navigation and consistent branding

Agent portal users can now open navigation from a hamburger menu on phones and access account settings or log out from the new mobile user menu. This makes essential portal actions easier to reach on smaller screens.

Your configured business logo now appears consistently across public pages and customer and agent portals. If no logo is set, ToteFlow displays your business name instead.

Consistent pricing across booking pages

The embeddable booking widget now uses the same pricing matrix and package choices as the full public booking page, including rental durations and residential or commercial categories. Customers can also open a booking link with a package already selected, making campaign and partner booking paths faster.

We also fixed extra-dolly pricing so bookings correctly apply included quantities and flat, daily, or weekly rates. Availability checks and displayed prices now stay aligned with the selected package and rental duration.

Flexible website page headers

You can now choose a theme photo, custom image, or solid color for the headers on your About, Booking, and Contact pages. A new color picker makes it easy to match these pages to your brand while keeping header text readable.

Website editing controls now stay visible while edit mode is active, making sections easier to find and update.

Pickup addresses in SignWell agreements

SignWell rental agreements can now include a reservation’s pickup address when your template contains the optional Pickup Address field. If no separate pickup address is available, ToteFlow uses the delivery address instead.

Templates without this optional field continue working as before, and the document-signing Field Mapping Guide now explains how to add it.

More reliable Stripe invoice updates

Stripe payment-link invoices now update to paid reliably after customers complete checkout, even when Stripe has many checkout sessions to review. This prevents completed payments from remaining open in ToteFlow.

ToteFlow now finds completed payments across the full checkout history and records the matching transaction, giving operators more dependable invoice status updates.

Accurate free-trial status and messaging

Free-trial banners and billing pages now show the correct trial length and days remaining, including custom trials set for an account. This fixes negative or misleading day counts and keeps trial messaging aligned with the period actually granted.

New account trials now follow platform trial settings consistently. When trials are disabled or a custom period is chosen, ToteFlow preserves that choice and sends trial welcome notifications only when a trial is actually granted.

Faster reservation updates and clearer scheduling

Reservation details now bring status, booking summaries, lifecycle progress, inventory guidance, and suggested next steps into one clearer workflow. Staff can confirm reservations and move them through delivery and completion directly from the reservation window.

When a delivery or pickup schedule is missing, creating a logistics task now prompts staff to add the required date and time window first. Clearer scheduling fields and notifications help prevent unscheduled tasks and keep updates easy to follow.

More reliable pricing choices in booking

Public booking pages now start with a rental duration and package that have valid pricing. Unavailable packages stay hidden as customers change duration or category, preventing empty booking choices and accidental $0 requests. When no package is priced, customers can request a custom quote instead.

Pricing settings now warn operators when a public rental duration is missing prices for active packages. The Rental Settings section and pricing tabs are also restored to a clearer layout.

A clearer, more privacy-friendly ToteFlow website

ToteFlow’s public website now has refreshed home and features content, clearer privacy and terms pages, and cookie choices that keep optional analytics off unless visitors accept them. Search and social-sharing improvements also make ToteFlow information easier to discover and share.

The retired daily logistics summary email is no longer scheduled, preventing operators from receiving an outdated report. New tenant signups now move through a clear confirmation step before opening the new account.

More reliable cancellations and public websites

Subscription cancellations now complete cleanly when a plan was already canceled outside ToteFlow, and cancellation feedback saves reliably for tenant accounts.

Public website content also continues loading during temporary cache outages, helping tenant sites remain available without interruption.

More reliable links in account emails

Welcome and subscription activation emails now link directly to your ToteFlow dashboard using your business’s correct web address, including custom domains.

If an outdated dashboard link points to ToteFlow’s main site, it now takes you to sign in instead of showing a missing-page error.

More reliable sitemap links

Sitemaps now consistently use each tenant site’s preferred public address without affecting other links on the site.

This keeps custom-domain search indexing accurate and prevents sitemap requests from influencing URLs generated later.

Better search visibility for custom domains

Tenant public sites with an active custom domain now consistently direct search engines to that preferred address. Public website pages, canonical links, sitemaps, and search-engine guidance stay aligned to help prevent duplicate listings and improve Google Search Console indexing.

Blog posts marked not to be indexed are now excluded from the sitemap and clearly tell search engines not to list them.

Smarter booking availability and easier admin tools

Booking forms now show an inventory-aware delivery calendar, block unavailable dates, highlight limited-inventory dates, and check lead-time rules before customers submit. Operators can configure standard and overbook lead times—including same-day cutoff windows—and admins receive a warning with an override option when creating reservations.

Customer management is more streamlined: staff can add or edit customers, search and prefill customer details while creating reservations, and use address autocomplete. Blog posts, pillars, and settings now live in one tabbed Website Content hub, and blog image uploads support files up to 30 MB.

More reliable billing status updates

Billing status updates are now more reliable and complete across all accounts, including trials, complimentary plans, and accounts without active subscriptions.

Platform billing teams can refresh account statuses in bulk with clearer progress feedback, while larger account lists sync smoothly without interruptions.

Reliable invoice payment notifications

Invoice payment notifications sent to tenant admins now display reliably. Each message includes the invoice amount and payment date, reservation and customer details, and a direct link back to the admin panel.
