Release Notes

A plain-language look at the product changes rolling out across the ToteFlow platform.

Clearer booking form errors and a smoother Claude connection

Your public booking page now tells customers exactly what's missing. If someone picks a package but leaves out their name, phone or email, they'll see a short message right under each missing field and be taken straight to it, instead of a confusing "choose a package" error. Their selected package stays selected while they fix it. Links that preselect a package still work the same way, and if a customer clears their choice, the page respects that.

Connecting Claude to ToteFlow is more reliable, whether your site runs on a ToteFlow subdomain or your own custom domain. If an approval screen sits open too long, or gets reopened in another tab, you'll now see a friendly page on your own branding saying the approval expired and to go back to Claude and click Connect again, instead of a technical error. The Claude setup guide in admin includes the same tip.

Retina-sharp images across your whole site

Images on your public site now look sharp on retina and high-resolution screens everywhere, not only the photos you've uploaded yourself. Images that came with your site template, like the Why Rent cards, the homepage credential photo and the About page story image, now load in crisp versions sized to the space they fill. Package thumbnails, testimonials and team photos get extra-sharp versions for high-resolution phones and laptops too.

The banner at the top of your pages also gets a high-resolution version on retina screens, whether you're using the default banner or your own image. There's nothing to change on your end: your existing images are upgraded automatically.

Sharper images on your site, smoother large uploads, and a steadier navigation editor

Images on your public site now look crisp on high-resolution and retina screens, including phones, tablets and newer laptops. Photos in your page sections, blog posts, booking pages, logo and page backgrounds are sized to fit the space they appear in, so they stay sharp without slowing your pages down, and the main image at the top of each page loads first. There's nothing to change on your end: your existing images get the upgrade automatically.

Large image uploads are handled more gracefully in admin. Very large photos are compressed automatically before they're uploaded, and if a file is still too big, you'll see a clear message right under the upload field telling you what to do instead of an unexpected error.

The navigation editor no longer crashes when a menu contains an incomplete item. Any broken entries are skipped so you can keep editing and saving your menu as usual.

Linked service areas in your footer and text message consent in admin

Each place in your footer's Areas we serve list can now have its own optional link. Point an area at one of your pages (like /anderson) or at a full web address, and it shows up as a clickable link in your site footer; leave the link blank to keep it as plain text. You'll find the editor under Website Settings and Settings → Service Area. Unsafe links are rejected when you save, and the error now appears right under the row that needs fixing.

You can now see and record a customer's text message (SMS) consent right in admin. Each reservation shows whether the customer agreed to text messages and when, shown in your business's time zone. The reservations list has a consent badge and a new Text messages filter, and the customer record shows their consent status too. When you create or edit a reservation yourself, there's a consent checkbox that starts unchecked, so consent is only recorded when the customer has actually given it. Existing bookings where customers already opted in are carried over automatically.

A new dashboard, a simpler admin menu, and a more accurate booking calendar

Your Dashboard now opens with three daily widgets for owners and admins: reservations that need attention, a 21-day inventory projection, and the next 7 days of deliveries, pickups and blockouts, each linking to its full page. The admin menu is regrouped into seven collapsible sections with Dashboard, View My Site and Ask Flo pinned at the top, and you can press Ctrl/Cmd+K to search for any page. Website fields now have their own Website Settings page, the go-live checklist lives under Settings → Setup (where owners can also hide the go-live button), and Slack notifications moved to Reminders. On phones, the menu opens above everything else on the page, and admin lists turn into stacked cards so nothing scrolls sideways.

The booking calendar is more accurate. Blockout dates show even before a customer picks a package, and a busy moment no longer makes every date look open; customers see a short error with a retry button instead. When a package is picked, the chosen date stays if it's still available, or moves to the next open day with a note saying so, and packages without enough stock say so plainly. Links from your homepage can preselect a package, and reordering your site navigation no longer moves a menu label onto the wrong page.

Invoice pay links now use your own domain, including links in emails. Deleting a reservation voids its unpaid invoices and turns off their payment links, so Pending Payments and open totals stay accurate. If an invoice can't be created, you'll see the reason from your payment gateway instead of a silent failure, and phone numbers are checked as they're entered. New Verification tags under Website Settings let you add Google Search Console, Bing, Meta and Pinterest verification codes (paste the full tag or just the value), and they appear on every page of your site.

Full business address on invoices, smoother rental agreements

Invoices now show your full business address in the header: street, city, province or state, and postal code, pulled from your business details under Settings → General. The full address appears on invoice PDFs, the admin invoice preview, and customer invoice emails, including emails that use your own custom template.

Rental agreements sent through SignWell no longer fail when your agreement template doesn't have a dolly count field. The dolly count is now optional: it's filled in when your template includes that field and simply skipped when it doesn't.

Rental agreements sending again, cleaner email subjects

Rental agreements sent through SignWell are working again. A recent change had stopped those sends from going out; they create and deliver as before, with no automatic CC outside your signing order.

Confirmation, quote, invoice, and related email subjects stay as plain text. The itemized price breakdown (including delivery surcharges) still appears in the email body—it no longer spills into the subject line.

Cleaner rental agreements and quieter low-inventory alerts

Rental agreements sent through SignWell now list the person who clicked send as the requester, so signing notifications and completed PDFs go to that team member instead of a shared platform mailbox. Agreements are no longer auto-CC’d to anyone outside your signing order.

Low-inventory alerts for totes and rentable add-ons arrive as one digest per person when utilization crosses your threshold, listing the affected date ranges and the peak—so a multi-day booking no longer floods your inbox with one email per day. If your business email matches an admin account, you only get the alert once.

Customer emails also stay on your brand: contact lines and “Book again” links use your business email and public site when those are set, instead of falling back to a platform address.

Clearer delivery surcharges and more reliable address checks

Delivery surcharges are now itemized everywhere your customers see a price. When an address is outside your free radius, the surcharge appears as its own line instead of being folded into the total: on the booking success page, in confirmation, quote, and invoice emails, on invoice PDFs, on the pay page, and as a separate line item on Stripe, Square, and Authorize.net charges. Every line adds up to the same total you see in admin.

Address checks are more reliable. Picking an address from the autocomplete suggestions no longer occasionally shows an "outside our service area" error for an address that's actually inside it. Delivery and pickup addresses now go through the exact same check, with the same validation and messages on both fields, and address suggestions favor your own country first. The fix applies to public booking, gift booking, and admin reservation create and edit.

Block delivery dates you can't fulfill

You can now set Blockout Dates under Scheduling → Settings, next to Lead Times. Add single days, date ranges, or weekly closed days, with an optional reason. Lead time is still checked first; blockouts apply after.

On public booking and gift booking, blocked delivery days look the same as lead-time days—they simply can't be picked. Same-day delivery is refused on a blocked day. Pickup dates stay open so you can negotiate after the rental, and custom quote requests are unaffected.

When you create or edit a reservation as an admin, you'll see a warning as soon as you pick a blocked delivery date; you can acknowledge and save anyway. Existing reservations on a newly blocked day get an admin-only badge—customers aren't notified or canceled. The schedule calendar also labels blocked days with the reason as a tooltip.

Stay signed in on devices you trust

The sign-in page now has a Remember this device option. Check it on a computer, phone, or saved home-screen app you trust and ToteFlow keeps you signed in for 30 days, and each visit from that device pushes the 30 days forward, so devices you use regularly rarely see the sign-in screen again. Everyday sessions also last much longer: you now stay signed in through up to 12 hours of inactivity instead of 2.

If a page has been left open for a long time, ToteFlow now quietly reloads it instead of making it look like you were signed out.

Want to lock things down? Use Sign out other devices under Settings → Password to end every other session and remembered device while staying signed in where you are. Changing or resetting your password does the same automatically.

Per-address delivery surcharges and shorter menu labels

Delivery surcharges can now apply in two ways. Under Settings → Service Area, choose Once per reservation (the default, unchanged for existing accounts) or Once per address outside the free radius. With per-address, the delivery and pickup addresses are each priced on their own distance tier or city fee. When both are outside your free radius, the guest sees two clearly labeled surcharges, one for the delivery address and one for the pickup address, on the booking summary, admin reservations, and invoices.

Admin Create and Edit Reservation forms now add the delivery surcharge as soon as an address is entered. If a distance check can't be completed, you'll see a message with a Try again button instead of the surcharge silently disappearing.

Navigation menus can show a short menu label instead of the full page title. For example, a dropdown item can read "Anderson" while the page keeps its full title and SEO title. Set it in Page settings or the Navigation editor; leave it blank to keep using the page title. Flo can set menu labels and the surcharge option too.

Richer blog and page editing, safer platform billing

When you edit blog posts or Text blocks in the page builder, the editor now supports headings (through H5), inline images with alt text and adjustable width, and a sticky toolbar that stays visible while you scroll long content.

Platform billing is also safer: ToteFlow reuses your existing Stripe customer and blocks starting a second live subscription when one is already active, with extra safeguards against double-clicks during checkout. If Stripe ever reports a duplicate subscription for your account, we flag it on Dashboard → Billing so you can review it in Stripe—we do not cancel subscriptions automatically.

We also tightened a few onboarding touches: new contacts synced from GoHighLevel receive the customer role as expected, and creating a brokerage attaches the welcome user once with a clearer confirmation.

Easier reservation workflow on mobile

When you open a reservation on a phone, the workflow bar now starts compact: you see the current status and the one required next step, with a control to expand the full tracker, inventory callout, and other suggested actions. Expanded details scroll with the rest of the reservation so you can read everything without losing context. Your expand/collapse choice is remembered for next time.

Step labels on small screens use short names (for example Pend. and Conf.) so they no longer overlap; screen readers still announce the full step names.

Desktop is unchanged—the full workflow stays pinned above the reservation details.

Marketing attribution on bookings and improved custom HTML

ToteFlow now captures first-touch marketing details when someone visits your public site (such as UTM tags and common ad click IDs) and saves them on the reservation when they book or send a gift request. You can review that information on the reservation in admin and in CSV exports, which makes it easier to see which campaigns drove each order.

If you use Meta ads, you can add a Conversions API access token under General settings (alongside your existing pixel). Schedule and Reserve conversions can be sent from the server as well as the browser, using the same event IDs so reporting stays aligned. A booking_complete event is also available for Google Tag Manager when guests finish booking.

Custom HTML sections on your website now sit in the normal page column by default, with an optional Full width layout per section. HTML comments and small print tags are preserved when you save, while unsafe scripts and links are still removed. Platform release notes on the marketing site also display more safely when notes include rich formatting.

301 redirects for old pages and blog posts

You can manage 301 redirects under Settings → 301 Redirects. Send visitors from an old path to a new one, including query strings on the public site. Changing a blog or page slug automatically creates a redirect from the old address.

If you redirect a published blog post, you’ll get a clear warning and must confirm; saving unpublishes that post so it leaves the blog while visitors go to the new URL. Flo can create and delete redirects behind the same Confirm approvals you already use.

Custom website pages, larger photo uploads, and Flo CMS editing

You can create custom pages in the website editor with their own URLs, SEO, and placement in the header, sub-menu, or footer. A new page builder section supports repeatable text, image, and video blocks and layouts, and you can add more than one custom HTML section on a page.

Image uploads accept much larger files (about 50 MB) and HEIC photos from iPhones (stored as JPEG).

Flo can help edit CMS content—including uploads, page SEO, and page builder sections—behind the same Confirm approvals you already use.

Accurate search listings and your product wording on packages

Public pages now build search and social structured data from your own business settings—name, packages, social links, and pricing range—instead of leftover template values. General Settings adds City, State / Region, ZIP, and Area Served so you can fill those in for cleaner LocalBusiness markup.

Homepage package cards also follow your product noun settings (for example totes vs boxes) instead of always saying “boxes.”

Larger in-app tutorial videos on desktop

When you open an in-app tutorial video from admin (for example Document Signing help), the playback window is much wider on desktop so the player is easy to watch. On phones it still fills the screen with a comfortable margin.

Built-in contact form with spam protection

Contact Form sections on your site can use a built-in form (Name, Phone, Email, Comments) instead of only an embed. Submissions show up under Contact Messages in your dashboard, and you can get notified through your existing contact preference (in-app, email, and push).

Spam protection includes honeypot and rate limits out of the box, plus reCAPTCHA v3 when platform keys are configured. Existing sections that already use an embed keep working until you switch them.
